For planners
One crew, one quote, one person who answers.
This is the operating note for wedding planners, corporate managers, and venue coordinators. It covers timing, what the crew actually installs, and what you will need to source elsewhere.
Lead time
Frame tents are scheduled with the tent crew, so they need more notice than a table-and-chair drop. Peak Saturdays in spring and fall fill first.
Send the date on the quote form. We answer from the live calendar. A form submission does not hold the date, and it does not mean the date is open.
Site visits and delivery windows
For tents and larger installs we can walk the venue with you, or with the venue coordinator, before the event. Tell us if the site has a load-in path, a protected lawn, or a hard curfew.
The delivery window is set with one point of contact, so the venue is not taking a second call from a warehouse.
What setup includes
The tent crew installs frame tents, including the 20×20 and 20×40 high-peak frames, and returns to remove them.
Some table-and-chair orders are a drop for the planner or host to style. The parent catalog marks certain table packages as supplemental, and a few of those notes mention a delivery fee when the order is tables alone. We confirm the service level and the delivery terms on the quote so the floor plan and the invoice match.
Delivered event rentals include free delivery, professional setup where the listing includes it, and removal. Customer pickup is a separate catalog list.
Insurance
A certificate of insurance is available on request. Name the venue and any additional insured on the quote, and we will send what the venue asked for.
Stakes, weights, and the surface
Frame tents are staked into turf when the venue allows stakes. On concrete, pavers, or a lawn the venue will not let us pierce, we use weights.
Tell us the surface on the quote. If we have not seen it, we will ask before the crew leaves.
Texas weather
Wind and storms in Central Texas can change a tent plan. If the forecast is unsafe for a frame tent, we will say so before the truck rolls. A date that was fine on Tuesday can need a new conversation on Friday.
What we do not provide
We are not the venue. We do not book the room, take a venue commission, or speak for the venue’s rules.
Arbor, draping, catering, bar staff, and florals are not in this catalog.
Inflatables are an add-on from Austin Bounce House Rentals when the event is family-facing. Foam cannon parties are booked the same way. They are not assumed on a wedding or a corporate order.
